Terms of Use

These Terms of Use apply to the use of ROUTApilot, an AI-supported travel planning platform operated under routapilot.app. By registering for or using the platform, you accept these Terms of Use.

ROUTApilot provides tools for planning trips. This includes, in particular, creating trips, daily plans and activities, collaborating with fellow travelers, synchronizing with calendar services and receiving AI-supported suggestions. ROUTApilot supports your travel planning but does not replace your own verification of important travel information. ROUTApilot does not warrant the accuracy, completeness, availability, opening hours, prices or suitability of displayed activities, places, destinations or suggestions. You are responsible for checking travel information before and during your trip.

A user account is required to use the app features. You are responsible for keeping your access credentials secure and protecting your account against unauthorized access. Please inform us promptly if you notice unauthorized use of your account or any other suspicious activity. Your account is personal and non-transferable.

You are responsible for the content you enter, upload or edit in ROUTApilot. This includes, in particular, trip titles, descriptions, activities, times, places, notes and other planning content. You must not submit content that is unlawful, offensive, discriminatory, misleading, harmful or abusive, or that infringes third-party rights, in particular copyrights, trademarks, personality rights or data protection rights. ROUTApilot reserves the right to remove content or restrict access to content if it violates these Terms of Service or applicable law.

You generally retain the rights to the content that you enter or upload to ROUTApilot. However, you grant ROUTApilot the necessary simple, non-exclusive rights to use your content in order to technically store, display, process, secure, synchronize, export and provide it as part of the features you use. This includes, in particular, displaying the content to you and to trip participants authorized by you. These rights only apply to the extent necessary for operating and providing the respective features.

ROUTApilot may allow you to upload travel documents and other files to a trip. You are responsible for the files you upload and for ensuring that you are authorized to store and share them. Please do not upload files whose storage or sharing is unlawful or infringes the rights of third parties. This applies in particular to personal data, identity documents, booking documents, insurance documents, copyrighted content or other confidential information. If you share travel documents with trip participants or grant them access to a trip, these people may have access to the related documents depending on their permissions. You are responsible for checking access rights and removing permissions that are no longer required. ROUTApilot provides technical safeguards but cannot prevent authorized users from saving or sharing files they have viewed or downloaded outside the platform.

You may optionally upload a profile picture or avatar. You are responsible for ensuring that you have the necessary rights to the image and that the image does not infringe the rights of third parties. Profile pictures may be visible to trip participants who share access to a trip with you. Please only use images that you want to display in this context. ROUTApilot reserves the right to remove profile pictures if they violate these Terms of Use or applicable law.

ROUTApilot may provide export features, for example for shopping lists or checklists as PDF or Excel files. Exports reflect the respective data status at the time of export. After export, the files are stored outside ROUTApilot or further processed by you. ROUTApilot has no control over where you store exported files, with whom you share them or how third parties handle them. You are responsible for storing exported files securely and sharing them only with authorized people.

ROUTApilot may use external services to make it easier to select travel destinations, places or addresses, for example Google Places or Google Maps services. The availability, accuracy and timeliness of these external services are outside our control. ROUTApilot does not guarantee that search results, location information, map information or external content are always correct, complete or available.

ROUTApilot offers AI-supported activity and travel suggestions as planning assistance. These suggestions are generated automatically and may be incomplete, outdated or incorrect. You are responsible for checking suggestions before using them, especially information about opening hours, prices, availability, travel times, safety information and suitability for your trip. ROUTApilot does not warrant the accuracy, completeness or timeliness of AI-generated suggestions. Statutory liability claims remain unaffected.

ROUTApilot allows activities to be synchronized with external calendar services. Google Calendar and Outlook Calendar are available if you actively connect them in the settings. Synchronization requires an active connection with the respective third-party provider. You can disconnect a calendar integration at any time in the settings. The availability and functionality of external calendar services are outside our control. ROUTApilot does not warrant uninterrupted or error-free synchronization or availability of the calendar integration.

You can invite other registered users to your trips by email. Invited users receive access to trip data, activities and the timeline according to their role and may view or edit them depending on their permissions. You are responsible for deciding whom you invite to a trip and which permissions you grant. Remove fellow travelers when their access is no longer required.

ROUTApilot may offer free and extended features. Certain features may be available as part of ROUTApilot Plus, trial phases, registration bonuses or time-limited unlocks. The available features, limits and conditions may be displayed within the app or on the pricing page. This may include, for example, limits for travel documents, file sizes, exports or other extended features. A currently free trial phase or bonus unlock does not create a permanent right to use these features free of charge. ROUTApilot may change, extend or limit Plus features, trial phases or feature limits for the future to the extent permitted by law. As long as no paid subscription is actively offered, no payment processing takes place through ROUTApilot. Future paid offers may be subject to additional information, prices, terms, cancellation conditions or payment terms.

We strive to provide high availability of ROUTApilot, but we cannot guarantee uninterrupted or error-free availability. Maintenance, technical issues, security measures, external services or force majeure may lead to temporary restrictions or interruptions. There is no entitlement to permanent availability.

In particular, the following is prohibited: • automated mass access, scraping or abusive analysis of content • introducing malware, harmful code or other disruptive content • commercial redistribution of platform content without prior permission • attempting to gain unauthorized access to other accounts, trip data or systems • misuse of invitation, calendar or AI features • use of the platform to send spam, commit fraud, mislead others or distribute unlawful content • infringement of third-party rights, in particular copyrights, trademarks, personality rights or data protection rights • uploading or sharing files for which you do not have the necessary rights or authorization to store or share them • using travel document, export or sharing features to unlawfully disclose personal or confidential information

We are fully liable for intent and gross negligence as well as for damages resulting from injury to life, body or health. In cases of slight negligence, we are liable only for the breach of a material contractual obligation. A material contractual obligation is an obligation whose fulfillment makes the proper use of ROUTApilot possible in the first place and on whose compliance users may regularly rely. In such cases, liability is limited to the foreseeable damage typical for this type of contract. Any further liability is excluded to the extent permitted by law. Liability under mandatory statutory provisions remains unaffected. In particular, ROUTApilot does not warrant: • the accuracy, completeness or timeliness of AI-generated suggestions • the availability, opening hours, prices or suitability of activities, places or destinations • the uninterrupted availability of external calendar services • content provided by other users • external services and linked content • the permanent availability or error-free operation of file, export or synchronization features • the secure handling by third parties of exported, downloaded or shared files outside ROUTApilot

You can delete your account in the settings or contact info@routapilot.app to request deletion of your data. After account deletion, content that you have shared with other trip participants may, depending on the technical implementation and permission situation, remain fully or partially visible to authorized trip participants if this is necessary to continue shared trips or if legal reasons prevent deletion. Personal data will be deleted or anonymized in accordance with the Privacy Policy. ROUTApilot may temporarily suspend or permanently close accounts if users significantly or repeatedly violate these Terms of Use or applicable law.

We reserve the right to update these Terms of Service if necessary, in particular if functions, legal requirements or technical circumstances change. We will inform you of material changes in an appropriate manner, for example via the platform or by email. Changes apply to the future use of ROUTApilot.
